Call for FY17 Region Conference Host bids – Due September 20th

Region E is soliciting bid proposals from sections interested in hosting the 2017 Region E Conference the weekend of February 17-19, 2017. If your section or MAL group is interested in hosting this conference, please email a brief letter of intent to governor-e@swe.org by September 20, 2015.

The Region E Conference is organized by the Region Conference Planning Committee (RCPC). If your bid is selected, you will be the host section for the conference and members of your section will join the RCPC to plan the conference along with SWE members from outside your section with previous conference planning experience. Please note that the RCPC will select the theme, agenda, and speakers for each conference, but your bid may contain suggestions for these items if you choose. The FY17 Region E Conference may also be used as a pilot for the new society region conference design, utilizing the RCPC & HQ staff.

If you decide to submit a bid to host the 2017 Region E Conference, a conference plan package should be submitted to me by October 20, 2015. Any complete packages received by this date will be included in the conference location vote by the Region E Council in November 2015.

The conference plan package typically includes the following information, at a minimum:

Letter of supportThis should be from the Dean of Engineering of the hosting collegiate section and/or from the President of the supporting professional section or MAL group.

Proposed specific venue (e.g. college, hotel) – Information on more than one location in the same city may be submitted (suggested attendance estimate = 350 people), but please do not submit more than three options.

Basic cost information on the venue options Room rates and meeting package rate per person only; a full budget is not necessary or required for your submission.

Location benefits – Highlight ease of travel to/from location, approximate number of local volunteers, other local conference support, local attractions, etc.

Travel options for conference attendees – Include specific transportation options with key hubs (i.e. airports, train stations) identified.

Hosting a region conference has numerous benefits for the host sections. These include resume enhancing work, increased section funds from the potential conference overage, corporate sponsorship connections for your section, and easier access for those members in your SWE section to attend the conference. The Region Conference Planning Committee (RCPC) is ready and willing to work with the group who is awarded the conference hosting honor to ensure a successful event for all involved.
